Personal Assistant & Office Executive
The Position
Based in Jakarta , this position will report to the Country Head of Indonesia. The role is to act as the Personal Assistant for the CH of Indonesia as well as manage the personnel and office administration functions for the company.
1) Personal Assistant/Secretarial Support
a) To act as Secretary & Personal Assistant for Country Manager
b) To act as Secretary for other senior roles within the local office structure
c) To prepare proposals and presentations in the form of word, excel and PowerPoint documents
d) Hotel & Flights Arrangement
2) Office Administration
a) Ensure a clean and pleasant office and working environment
b) Coordinate office equipment repair & maintenance
c) Reception support for call in as well as walk in visitors
d) Office equipment & supplies
e) Coordination and supervision of cleaner for general office cleaning
f) Printing of company stationary (name cards, envelopes, letterheads etc)
g) Arrange for all office stationary
h) Office insurance
i) Distribute mail
j) Arrange for mail and couriers to be sent
k) Responsible for office machine maintenance
l) Act as the contact person with building management office
m) Keep spare keys for all office entrance and furniture
n) Manage petty cash
o) Arrange for approval and payment of all invoices
3) Personnel Functions
a) Arrange and maintain personnel files
b) Manage monthly coordination of payroll with an Outsource finance company
c) Manage attendance system
d) Manage Leave Day balances
e) Manage Employee Benefits program & Staff Insurances
f) Liaise with legal advisors and coordinate for personnel issues
g) Organize the staff functions and monthly get together
h) Liaise with personnel agency or headhunter for recruitment
i) Coordinate Expenses claim form between employees and Outsource finance company
